Ever wondered what is done to enable roles to gain sufficient traction? How are candidates and clients supported throughout? Who prepares the weekly CT Opportunities Bulletin for mailing out? Working in the background, recruitment coordinators quietly help to achieve successful outcomes. In this article, we outline four key ways they achieve this.

Methodical planning
Coordinators add key role information including salary, location and key dates to the role pages on our website ahead of time.
This preparation ensures roles can go live as soon as everything is signed off and the role is ready to be promoted. Coordinators either prepare in-house recruitment packs and photographs to complement the main wording or will liaise over several weeks with a designer.
In either scenario, they provide a critical proofreading role for recruitment packs and adverts, checking for sound grammar and ensuring links to websites and contact details are working properly.

Application management
Applications are received via our database. The current organisation and job titles of candidates are inputted.
CVs and other important documents are securely stored and are allocated to the right assignment. We follow up with candidates to make sure we have all the documents we need to complete their applications.
Application statistics and updates are often sent to consultants to aid them. Coordinators also assist in creating longlist documents and collating large amounts of data for consultants to utilise.

The advertising campaign
When advertising costs are signed off, coordinators are responsible for getting the adverts listed with the relevant vendors. There are broadly two tasks to bring this to fruition:
- Submitting content and chasing advertisers: This might involve emailing an advertiser directly with the wording or inputting information onto their website. Wording and paragraphing must be based on the original advert before sending this over to the client.
- Updating the CT Opportunities Bulletin: A live role, or sometimes an anonymous ‘coming soon’ advert, needs to be inserted into the bulletin by the Friday deadline. Consultants are liaised with, and all emails checked carefully to ensure the signed off advert or ‘coming soon’ note is added. Design software is used to make adverts look presentable for readers. After being electronically posted, the bulletin cannot be further edited. So all logos, wording and formatting needs to be perfect and in the correct section. Several tests for any broken links are also conducted before the Bulletin goes out to our many subscribers.

Longlisting and shortlisting
During these stages, both candidates and clients are communicated with by coordinators, as below:
- Unsuccessful candidates: Informative letters communicating the outcome are sent out.
- Successful candidates: Coordinators build interview timetables. All candidates are called, and confirmation letters are emailed to them with information on the panel members, interview times and meeting links, or office addresses. If there are multiple interview dates, and interview stages, keeping the information such as links, and panel information presented clearly and correctly is critical.
- Supporting clients: Electronic panel packs are sent to interview or stakeholder panel members ahead of interviews. On interview days, coordinators often log into the online meetings to check if clients need further support with operating the software.
Clear communication
Recruitment coordination requires vast attention to detail which is at times missed by others. It is important that documents go to the correct people and that confidentiality is adhered to.
Coordinators regularly speak to clients and candidates on behalf of our consultants. We proactively support consultants, offering assistance and logistical support throughout all of the recruitment projects delivered at Campbell Tickell, and we play a key role in upholding quality standards and professionalism of the recruitment services we offer to our clients.
